Passing the Torch: Preparing the Next Event Coordinators
This week has been a shift in focus for me, moving from executing events to preparing others to do the same within the Student Planning Committee. A large part of my time has been spent creating transition materials for next year’s event coordinators, making sure they have the tools and knowledge needed to succeed. At the same time, I have also started transitioning into my new role as communications coordinator, where I will be responsible for social media and all promotions for SPC events.
Creating these transition materials has shown me how
detailed the event planning process really is. My presentation for next year’s
coordinators breaks everything down step by step, from the initial idea and
securing a date to final logistics and execution. I want them to understand not
only what needs to be done, but how to approach each step in a way that sets
them up for success.
One of the biggest points I focus on is communication.
Knowing who to contact for specific needs can make a huge difference in how
smoothly an event comes together. Whether it is coordinating with vendors,
working with campus facilities or reaching out to other student organizations,
having those connections and understanding the process is key. I have tried to
include practical advice and real examples so they feel prepared rather than
overwhelmed.
At the same time, stepping into the communications
coordinator role has given me a new perspective. This position is centered on
managing social media and handling all promotions for events, which plays a
major role in attendance and engagement. I have been learning what the job
entails and what it takes to be successful, from creating content to planning
posts and making sure events reach the right audience.
Seeing both roles at once has helped me understand how
closely they are connected. Even the best-planned event can fall short without
strong promotion, and effective marketing depends on clear communication from
the event planning side. This transition has allowed me to see the bigger
picture of how SPC operates.
Overall, this week has been about growth and preparation. It
is not just about planning events anymore, but also about helping others
succeed and stepping into a new leadership role. As I finish one position and
prepare for the next, it feels like a full-circle moment and an exciting step
forward.
